How Vueni finds receipts in Gmail, Outlook and iCloud Mail

Connect Gmail, Outlook or iCloud Mail, or forward receipts from any inbox. Vueni matches each receipt to its card purchase and picks up tracking numbers.

Why does Vueni need your receipts?

A card statement shows a short merchant name and a total. It does not show what you bought.

A receipt fills that gap. With a matched receipt, Vueni can show:

  • The items in the order, not just the total.

  • The tracking number, so you can follow the package.

  • The return terms, so Vueni can track the return window.

A line like “SQ *BLUE BOTTLE $18.40” becomes two bags of coffee beans, shipping by USPS, returnable for 14 days.

Which ways can you connect email?

You have four options:

  1. Gmail. Connect your Google account from the Vueni app.

  2. Outlook. Connect your Microsoft account from the Vueni app.

  3. iCloud Mail. Connect your iCloud Mail from the Vueni app.

  4. Any other inbox. Forward receipts to your private Vueni address.

You can use more than one, for example Gmail plus forwarding from a work inbox. Some providers are not available in every region yet.

How do you connect Gmail, Outlook or iCloud Mail?

  1. Open the Vueni app.

  2. Go to your connections and choose email.

  3. Choose Gmail, Outlook or iCloud Mail.

  4. Sign in and approve access when asked.

  5. Return to Vueni. It starts to look for recent receipts.

How does the forwarding address work?

Every Vueni member gets a private forwarding address. Any receipt you send to it is added to your account.

You can forward receipts one at a time. Or you can set up a rule in your email app to forward order and shipping emails on their own. Most email apps let you create a filter for emails from a store or with words like “order” or “receipt” in the subject.

Some email services ask you to confirm a forwarding address before they forward mail automatically. Follow the steps your email service shows.

Keep your forwarding address private. Anyone who has it can send email to it.

What does Vueni look for in your email?

Vueni looks for three kinds of email:

  • Order confirmations.

  • Receipts.

  • Shipping and delivery updates.

From these, it reads the store name, the date, the items, the total, any tracking number and any return terms.

How does Vueni match a receipt to a purchase?

Vueni compares the receipt with your card activity. It checks three things:

  • Amount. The receipt total and the charge should agree. Vueni allows for small differences, such as rounding or a split shipment.

  • Merchant. The store name on the receipt should match the name on the charge. Vueni ignores common payment prefixes that make card names hard to read.

  • Time. Receipts often arrive a little after the charge. Vueni allows a short gap of a few days.

If no purchase is a clear match, Vueni leaves the receipt unmatched rather than guess, because a wrong match would give you wrong context.

What does a matched receipt look like?

Say your card shows an $86.20 charge at a home goods store on a Wednesday afternoon. Two minutes later an order confirmation arrives in Gmail. It lists a lamp and a set of hooks that add up to $86.20, a UPS tracking number and a 30-day return policy.

Vueni matches the email to the charge, links the UPS package and notes the return terms and shows a return-by date. If the window runs from delivery, Vueni counts from the order date, so the date it shows is early rather than late.

What if a receipt does not match?

This can happen when:

  • The receipt is for a card you have not connected.

  • The store sent the receipt from a different business name.

  • An order was split into several charges.

You can still see the receipt in Vueni. Connecting the card you used often fixes the match.

Can you disconnect your email?

Yes. Go to your connections in the Vueni app and disconnect the inbox. Vueni then stops reading new email from it. To stop forwarding, remove the forwarding rule in your email app.

Why is my receipt not matched to a purchase?

Vueni only matches a receipt when the amount, merchant and time clearly agree with a card purchase. If the receipt is for a card you have not connected, or the store uses a different business name, it may stay unmatched.
